Executive Legal Administrative Assistant

First Peoples Law LLP is seeking an Executive Legal Administrate Assistant to join our growing team dedicated to defending and advancing the rights of Indigenous Peoples in Canada.

With a team of 31, including 18 lawyers, we provide the highest-quality legal services to our clients on issues related to title and rights, governance and economic prosperity, while actively participating in public education initiatives. Our work includes providing representation and strategic advice to First Nations and Indigenous groups across Canada.

The Executive Legal Administrative Assistant will have the following qualifications:  

  • alignment with our core values of advocacy, integrity and commitment 

  • 5+ years’ experience supporting a Senior Executive in a dynamic organization 

  • excellent computer literacy, MS Office Suite experience and digital tools experience including MS Teams, PowerPoint, SharePoint etc. 

  • assist in developing and implementing marketing strategies focused on maximizing the firm's digital content and network of contacts 

  • assist in the creation and publication of ongoing digital content such as social media posts and website posts 

  • works extremely well under pressure with the ability to meet tight deadlines while maintaining attention to detail 

  • demonstrated superior client service skills and professionalism when partnering with all levels and external stakeholders 

  • demonstrated strength in time management and organizational skills with the ability to multi-task in a fast paced and demanding environment 

  • detail oriented when writing and editing business documents, communications and presentations 

  • exercise high levels of discretion and judgment to deal with sensitive and confidential materials and matters 

  • possess exceptional interpersonal, influential, verbal and written communication skills 

  • strive to deliver results through creative and proactive thinking 

  • a natural problem solver who enjoys overcoming challenges 

  • resilient, resourceful and flexible in adapting to changes to accountabilities, project deadlines, and priorities, with ability to devise contingency plans as needed 

  • experience in mentoring or supervising other administrative professionals is an asset  

  • have flexibility to work outside of normal business hours including weekends 

  • a sense of humour 


Description of Position 

The Executive Legal Administrative Assistant will work collaboratively with the firm’s partners, associates and team members to: 

  • provide a full range of confidential administrative services for a senior partner ensuring quality service and professionalism at every interaction 

  • manage, coordinate, and maintain a complex calendar with conflicting priorities, including across multiple time zones 

  • meeting management on and offsite which includes scheduling, preparing and distributing agendas 

  • coordinate extensive and sometimes complex domestic and international travel arrangements and itineraries 

  • prioritize conflicting needs, troubleshoot, handle matters expeditiously, proactively and follow-through on projects 

  • organize and manage the partner's workload to ensure tasks are prioritized appropriately and completed in a timely manner 

  • build strong relationships across the organization, including partnering with internal and external stakeholders 

  • assist in tracking invoices, creating and managing budgets and expense claims 

  • be an effective and flexible teammate in adjusting to changing work priorities 

  • respond to requests in a concise and timely manner 

  • keep accurate records of client & high value contacts, outstanding tasks, important dates etc.

  • participate fully as a member of the team, contribute to various projects and seek to maintain a positive and inclusive work environment 

  • other duties and responsibilities as required 


The Executive Legal Administrative Assistant will work on a full-time basis out of the First Peoples Law office in Vancouver and remotely.  

Salary will be based on experience and qualifications.
